We collect and process the following categories of personal data when you use BadgerPanel:
When you create an account, we collect your name, email address, username, and a securely hashed version of your password. If you register or sign in using a third-party OAuth provider (such as Google, Discord, GitHub, or Microsoft), we receive your basic profile information from that provider, which may include your display name, email address, and profile identifier.
If you purchase a subscription or any paid service, we collect your billing address and maintain records of your transactions. All payment card processing is handled entirely by our third-party payment processors, Stripe and PayPal. We do not store, process, or have access to your full credit or debit card numbers. We retain only the transaction identifiers, amounts, dates, and billing addresses necessary for our records.
We automatically collect certain technical information when you use our platform, including server access logs, your IP address, browser type and version, operating system, referring URLs, pages visited, actions taken within the platform, and timestamps of your interactions. This data helps us maintain the security and performance of our services.
We use cookies and similar technologies to facilitate your use of BadgerPanel. These include essential session cookies required for authentication and platform functionality, preference cookies that remember your settings and display choices, and optional analytics cookies that help us understand how our platform is used. To create, maintain, and administer your account, verify your identity, and manage your access to the platform.
To process transactions, issue invoices, manage subscriptions, and handle refunds or disputes in conjunction with our payment processors.

To analyse how the platform is used in order to identify errors, improve existing features, and develop new functionality. Where this involves optional analytics cookies, processing is carried out on the basis of your consent. Aggregated, non-identifiable usage data may also be used for internal reporting purposes.

Processing your account information, billing data, and usage data is necessary for us to perform our contractual obligations to you under our terms of service, including providing the BadgerPanel platform and managing your account and subscriptions.
We process certain data, such as usage logs, IP addresses, and security monitoring data, on the basis of our legitimate interests in maintaining the security, stability, and performance of our platform, preventing fraud and abuse, and improving our services. Where we send you promotional communications or use optional analytics cookies, we do so on the basis of your explicit consent. You have the right to withdraw your consent at any time, and doing so will not affect the lawfulness of any processing carried out before withdrawal.
We process and retain certain data, particularly billing and transaction records, where this is necessary to comply with our legal obligations, including tax, accounting, and regulatory requirements under United Kingdom law.
We share personal data with the following categories of third-party service providers, each of whom acts as a data processor on our behalf or as an independent controller where applicable. We have entered into appropriate data processing agreements with each provider.
We use Stripe to process credit and debit card payments. When you make a payment, your payment card details are transmitted directly to Stripe and are not stored on our systems. Stripe's processing of your data is governed by the Stripe Privacy Policy. Stripe acts as a data processor for payment processing on our behalf, and as an independent data controller for its own fraud prevention and regulatory compliance purposes.
We offer PayPal as an alternative payment method. When you pay via PayPal, your payment information is handled by PayPal in accordance with the PayPal Privacy Statement. PayPal acts as a data processor for payment processing on our behalf, and as an independent data controller for its own fraud prevention and compliance obligations.
We use Cloudflare for content delivery, DDoS protection, and web application security. Cloudflare may process your IP address and request metadata in the course of providing these services. Cloudflare's data handling is described in the Cloudflare Privacy Policy. Cloudflare acts as a data processor on our behalf for the purposes of content delivery and security.
If you choose to sign in using a third-party account, the relevant OAuth provider will share limited profile information with us as described in Section 2.1. Each provider processes your data in accordance with their own privacy policy, and your use of their sign-in service is subject to their terms. Each OAuth provider acts as an independent data controller for the authentication service they provide.
We use a combination of OVH, IONOS, Hetzner, and Amazon Web Services (AWS) to host our platform infrastructure. These providers process personal data as part of hosting our servers and delivering the Service. Their data handling is governed by their respective privacy policies: OVH Privacy Policy, IONOS Privacy Policy, Hetzner Privacy Policy, and AWS Privacy Notice.
We use Microsoft 365 for transactional and service-related email delivery. Microsoft processes email addresses and message content as a data processor on our behalf. Microsoft's data handling is described in the Microsoft Privacy Statement.
We retain your personal data only for as long as necessary to fulfil the purposes for which it was collected, or as required by law. Our specific retention periods are as follows:
Your account information (name, email, username, and associated profile data) is retained for the duration of your active account. If you delete your account or request erasure, we will delete or anonymise your account data within 6 months of account closure, except where retention is required by law.
We retain billing addresses, invoices, and transaction records for a period of 7 years from the date of the transaction in order to comply with our tax and accounting obligations under United Kingdom law.
Server access logs, IP address records, and other technical usage data are retained for 90 days from the date of collection, after which they are automatically deleted or anonymised.
Following the deletion of your account or your data, residual copies may persist in our encrypted backup systems for up to 30 days before being permanently purged.
Some of our third-party processors, as described in Section 5, are based outside the United Kingdom. Where we transfer personal data to countries that have not been deemed to provide an adequate level of data protection by the UK Secretary of State, we ensure that appropriate safeguards are in place to protect your data. These safeguards include reliance on UK adequacy decisions where available, or the use of the International Data Transfer Agreement (IDTA) or the UK Addendum to the EU Standard Contractual Clauses, as approved by the Information Commissioner's Office (ICO).
Specifically, the following transfers occur: Stripe, PayPal, Google, GitHub, and Microsoft are based in the United States. We rely on the International Data Transfer Agreement (IDTA) or the UK Addendum to the EU Standard Contractual Clauses for these transfers. OVH and Hetzner process data within the European Economic Area, which benefits from a UK adequacy decision. IONOS processes data in Germany within the EEA. Amazon Web Services may process data in the EU or US regions depending on configuration; where US processing occurs, we rely on the IDTA.
